  1. 1Find the access barrier
  2. 2Connect it to the request
  3. 3Keep the explanation factual

A missed appointment may have a practical explanation. When the notes supply an access difficulty, a clear letter can communicate it without adding blame.

The first case in OET Writing Essentials for Pharmacists includes transport dependence and concerns about travel. This guide focuses on selecting those details for a reader who needs to understand the next action.

Explain the barrier, not a presumed attitude

Use the reason recorded in the notes. Avoid replacing it with a label such as “uninterested” or “uncooperative.” Neither follows automatically from a missed appointment.

Original scheduling example

Notes: Missed evening class; last bus leaves before class ends; asks about online attendance.

Useful summary: “She missed the evening class because the last bus leaves before it finishes and has asked about attending online.”

Do not turn a request into a solution already arranged

The learner's interest in online attendance does not establish availability. Keep the requested adjustment separate from any confirmed arrangement.

Remove the unsupported judgement

Draft: “He is unwilling to attend in person.”

Notes: Relies on a lift that is unavailable on Mondays.

Revision: “He relies on a lift that is unavailable on Mondays.”

Choose relevant background

Include access information when it explains attendance, support needs or the request. A list of unrelated personal circumstances can obscure the purpose.

Practise writing one sentence about the barrier and another about the requested next step. Check that neither sentence invents motivation, availability or an agreed outcome.
