Teaching extract: Selecting Relevant Information

One of the most important skills in OET writing is deciding what information from the case notes is relevant to include. Remember, you are writing a letter, not copying the patient chart. The examiners want to see that you can filter through the data and choose details that serve the letter’s purpose.

Match details to the purpose: Go back to the purpose of your letter and your audience’s needs. Include details that support that purpose. For example, if the purpose is to request ongoing management by another speech pathologist, you should include the patient’s baseline condition and progress so far, as well as what kind of follow-up or management they will need. If the purpose is to refer for further investigation, include the symptoms or findings that justify that investigation.

Later in the same section:

Practical approach: After your initial analysis of the notes, create a quick list of the points you plan to include. This might be 5–7 main points, such as: “Patient background (e.g. diagnosis, when it started)”, “Current communication/swallowing ability”, “Therapy provided and response”, “Recommendations for future (or request)”, etc. Everything you include in the letter should relate to one of those main points. If you find a detail that doesn’t fit under any key point, it’s likely not relevant enough to include.

Extract ends here. The book continues with letter-writing guidance and task sets.

Your four-week speech-pathology writing study plan

Practise the decisions behind a useful letter: who will read it, what they need and why you are writing. Begin with the free extract above and a fictional practice task you already have or an official Speech Pathology sample. The book’s guided tasks and sample letters are optional additional practice.

A manageable rhythm: choose three 20-minute sessions each week for planning, drafting and reviewing. You can split a practice letter across sessions while learning. These are study suggestions, not a simulation of exam timing.

  1. Week 1 — choose relevant information. Read one practice task and write down the recipient and purpose. Sort its notes into “needed”, “possibly useful” and “not needed for this reader”. Give a reason for every included fact. Keep your first selection so you can revisit it.
  2. Week 2 — organise before drafting. Group the selected facts into paragraphs and write a clear opening that explains why you are writing. Draft the letter without adding information absent from the task. Read each paragraph and identify the job it does for the reader.
  3. Week 3 — revise for the reader. Compare your draft with the original notes before looking at any model answer. Check purpose, missing relevant facts, unnecessary detail and accuracy. Then review grammar and sentence clarity. If you use a model, compare its choices and reasons rather than copying its wording.
  4. Week 4 — try a fresh task. Use a different Speech Pathology task, following its published instructions for any timed attempt. Review it with the same checklist. Compare with your first attempt and choose one recurring issue—such as an unclear request or unnecessary detail—for the next practice cycle.

Try a relevance check now

In this invented, non-clinical example, a letter asks a course administrator to arrange online attendance. The notes say: the learner cannot attend in person; can join online on Tuesdays; prefers blue notebooks. Which facts help the reader act?

Check the selection and reason

Include the attendance difficulty and Tuesday availability because they help the administrator arrange access. Leave out the notebook colour: it does not help with this request. Apply the same purpose-and-reader question to fictional case notes, checking each detail in context.

Only ten minutes today?

Use two minutes to identify the reader and purpose, five minutes to select and group relevant notes, and three minutes to explain one inclusion and one omission. Save the draft for another session. If you miss a day, continue from your saved plan.

Copy your weekly review checklist
  • Date, task and intended reader:
  • Purpose clear in the opening?
  • Relevant information included and accurate?
  • Unnecessary detail removed?
  • Paragraphs easy to follow?
  • One sentence improved, with the reason:
  • Recurring issue and next practice date:

A checklist helps you revise; it does not predict an OET score. Ask a suitably qualified tutor for feedback where you cannot judge the relevance or clarity yourself.

Free next step: select the appropriate profession and format from official OET sample tests and consult the official Writing preparation guidance. This original routine develops writing skills and can be repeated or extended.
